Chapters

  1. Chapter 1 of 8 · Bills & AI

Photograph the bill. The rest happens.

Take a photo with the app or upload a PDF in the browser. ImmoAktas reads the sender, amount, period and cost type, and splits bills that run over the turn of the year across both years, to the day.

    • Insurance 1 Oct to 30 Sep: €388.16 lands in 2025, €1,151.84 in 2026
    • Every recognised field can be changed, the bill stays linked
    • A checklist shows which bill is still missing for the year
    How bill upload works (German)
  2. Chapter 2 of 8 · Properties & timelines

Everything has a date. Even the floor area.

Floor area, occupants, advance payments and tenants are timelines, not fixed values. If something changes on 1 July, ImmoAktas splits the year exactly there. You do not have to convert anything. Floors (attic, upper floors, ground floor, basement) can still be added or removed after you create the house.

    • Flat 2: 52 m² to 30 June, 62 m² from 1 July 2025, 57.04 m² on average
    • Baby on 15 September: 4 people from that day, 1,203 person days
    • Vacancy is charged to you automatically, not to the tenant
Try it in the free calculator (German)
  3. Chapter 3 of 8 · Tenancies & chronicle

    Every flat tells its story.

The current agreement on top, all earlier ones below, with addenda, deposit and handover report. The chronicle answers every question of the kind “How did things stand on …?”.

    • Flat share change Kühn → Okafor: the agreement carries on, liability stays right
    • The state on any cut-off date with one click
    • Corrections are logged, nothing is silently overwritten
    For private landlords (German)
  4. Chapter 4 of 8 · Meters

Enter the reading, add a photo as proof.

You, your caretaker or your tenants enter the reading and attach a photo of the meter as proof. ImmoAktas checks the figure against the previous reading.

    • Water, electricity, heat and main meters with difference
    • Interim reading at a change of tenant
    • Implausible readings are flagged before they are used
    Meters in the tenant app
  5. Chapter 5 of 8 · Statements

Every figure has a “Why?” button.

ImmoAktas produces the statement per flat with costs, advance payments and result. The calculation is visible to you and your tenant. That saves questions.

    • Flat 2: costs €2,111.04, advance payments €2,040.00, balance due €71.04
    • Figures can be overridden, the calculated one stays visible
    • CO2 step model and Heating Costs Ordinance applied automatically
The process step by step (German)
  6. Chapter 6 of 8 · Payments

Bank statement in. Who has paid?

Upload your bank statement as CSV or CAMT and ImmoAktas matches the rents to the flats. You see arrears straight away and can prepare a reminder with one click.

    • Matching by IBAN, name, amount and payment reference
    • Balances due and credits from the statement are booked
    • Arrears flat 6: −€1,020.00, 2 months
    For managers & portfolios (German)
  7. Chapter 7 of 8 · Tenant app

    Your tenants take part.

Tenants report meter readings, see their agreement and statement including the calculation, and ask questions directly about an item. Free for tenants, everyone only sees their own flat.

    • The statement arrives as a push notification, delivery is logged
    • Meter reading on the cut-off date, with a photo as proof
    • Report changes: a birth, a move-out, a new phone number
    More about the tenant app
  8. Chapter 8 of 8 · Export & tax

Take everything with you, whenever you like.

Statements as PDF, tax figures as CSV for your German tax return (Anlage V) or as DATEV bookings, everything else in the full export. Plus § 35a breakdowns for your tenants. Your data belongs to you, even after you cancel.

    • Full export any time, without asking
    • Vacancy costs and non-recoverable costs kept separate
    • § 35a shares shown per flat
    Security & data export (German)
